Clear boundaries for a maintenance intake service.

These terms cover the public website, resident intake, and manager access. Commercial deployments operate under a separate signed agreement.

1. Agreement to These Terms

These Terms of Use (“Terms”) govern access to the MaintenanceLine AI website, resident maintenance intake, manager dashboard, and related public features (the “Service”). By using the Service, you agree to these Terms. If you use the Service for an organization, you represent that you have authority to act for that organization.

If a customer and MaintenanceLine have signed a master services agreement, order form, data processing addendum, or other written agreement, that signed agreement controls the paid service and prevails over these Terms if there is a conflict.

2. What the Service Does

MaintenanceLine supports AI-assisted maintenance intake by phone and chat. It can collect issue details, identify a requested outcome, provide limited self-help, transfer or escalate a conversation, create an operational record, and deliver the original intake to a workflow configured by the property-management organization.

The Service reports what it can verify. “Work order requested” means the conversation requested or routed that outcome. “Delivered” means the intake reached the configured destination. Neither label proves that an external property system created, assigned, scheduled, or completed a work order.

3. Resident Use & Emergencies

Residents may use a property organization’s intake page or phone assistant to report a maintenance issue for a property they occupy or are authorized to represent. Provide accurate, relevant information and follow any property-specific instructions.

The Service is not emergency dispatch. For fire, gas odor, active danger, serious injury, or another immediate life-safety emergency, leave the area when appropriate and contact local emergency services. Do not wait for the AI assistant, property team, or dashboard.

AI responses can be incomplete, delayed, or wrong. Do not rely on the assistant as a licensed contractor, engineer, medical professional, emergency operator, or legal adviser. Stop any troubleshooting step that appears unsafe or could damage property.

4. Manager Accounts & Organization Access

Manager access is for authorized property-management personnel and approved contractors. You must provide accurate account information, protect your sign-in methods, use only your assigned organization, and promptly report suspected unauthorized access. You are responsible for activity performed through your account to the extent permitted by law.

Organization administrators control membership and may remove access. MaintenanceLine may suspend an account or session when reasonably necessary to address security, misuse, legal requirements, or a customer instruction.

5. Acceptable Use

You may not use the Service to:

  • submit false emergency reports, impersonate another person, or access a property or organization without authority;
  • harass, threaten, exploit, or unlawfully monitor another person;
  • upload malware, interfere with security controls, probe for vulnerabilities without written authorization, or disrupt the Service;
  • extract records at scale, reverse engineer protected portions of the Service, or use automated access except through an authorized integration;
  • submit payment-card details, account passwords, government identifiers, or unrelated sensitive information; or
  • use the Service in violation of law, a lease, a customer policy, or another person’s rights.

6. Content, Privacy & Processing

You retain any rights you have in information you submit. You grant MaintenanceLine the limited rights needed to host, process, transmit, secure, and display that information to operate the Service for the relevant property organization. You represent that you are authorized to provide the information you submit.

MaintenanceLine handles personal information as described in the Privacy Notice. Business customers’ data-processing obligations are also governed by their signed agreement and data processing addendum, if any.

7. Third-Party Services & Downstream Workflows

The Service depends on third-party infrastructure and may connect to a property organization’s chosen automation or property-management system. Those services may have their own terms and privacy practices. MaintenanceLine does not control a customer’s downstream destination and is not responsible for an external system’s independent availability, decision, or action.

References to a customer, provider, or product identify an operational relationship; they do not imply sponsorship, endorsement, partnership, or certification unless stated in a signed agreement.

8. MaintenanceLine Technology

MaintenanceLine and its licensors retain rights in the Service, software, interfaces, branding, documentation, and related technology. These Terms grant only a limited, revocable, non-transferable right to use the public Service as intended. No right is granted to use another customer’s branding or data.

If you send feedback, you permit us to use it without restriction or payment, provided we do not identify you publicly without permission.

9. Availability, Changes & Suspension

We may maintain, change, or discontinue public or demo features. The Service can experience outages, provider delays, transmission failures, or incomplete records. Property organizations remain responsible for maintaining appropriate resident contact, emergency, and maintenance-response procedures outside the Service.

Paid-service availability, support, service levels, termination rights, and data return are governed by the applicable signed agreement—not by marketing copy or a demo.

10. Disclaimers

To the extent permitted by law, the public website and any evaluation or demo features are provided “as is” and “as available.” MaintenanceLine disclaims implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement for those public and evaluation features. We do not warrant uninterrupted operation, perfect transcription, accurate AI classification, or a verified result in an external system.

Some jurisdictions do not allow certain disclaimers, so these exclusions apply only to the extent permitted. Warranties for a paid deployment, if any, appear in the signed customer agreement.

11. Limits of Liability

To the extent permitted by law and except for liability that cannot legally be limited, MaintenanceLine will not be liable under these public Terms for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenues, data, or business opportunities arising from public-site, demo, or resident use.

Liability and remedies for a paid customer deployment are governed exclusively by the signed customer agreement. These Terms do not limit any non-waivable consumer right or liability for fraud, willful misconduct, or another category that applicable law does not permit a party to exclude.

12. General Terms

If a provision of these Terms is unenforceable, the remaining provisions remain in effect. A failure to enforce a provision is not a waiver. You may not transfer your rights under these Terms without our consent; MaintenanceLine may transfer these Terms as part of a merger, reorganization, financing, or sale of the relevant business, subject to applicable law.

A signed customer agreement identifies its governing law and dispute process. Where no signed agreement applies, governing law and forum are determined by applicable law.

13. Changes & Contact

We may update these Terms. The effective date at the top identifies the current version. Continued use after an update means the revised Terms apply to future use to the extent permitted by law; a material change does not retroactively alter a signed customer agreement.
